From business identity to goods movement

E-way bills,
one step at a time.

Understand how a GST number, a transaction document and a transport record fit together—before the goods leave your door.

01 / Understand the connection

Three records. Three different jobs.

Think of them as “who”, “what” and “how it moves”. They work together, but none replaces the others.

Who is registered?

GST number / GSTIN

The GSTIN identifies a tax registration. GST-registered users use their GSTIN to register on the e-way bill portal; taxpayer details are linked to the GST registration system.

Look up a GST number
What is the transaction?

Invoice or challan

The source document describes the supply or other reason for movement. Use the relevant document and its details; an e-way bill is not a substitute for the invoice or delivery challan.

What is moving?

E-way bill / EBN

The e-way bill records the particular movement and receives its own 12-digit number. That number is different from the 15-character GSTIN used to identify a registration.

Registration linkage: NIC e-way bill guidance. Document and EBN details: official user manual.

02 / Check before you prepare

Start with the movement.
Then check the rule.

The general framework covers movement of goods with consignment value exceeding ₹50,000, including specified movements other than a sale. The value alone is not a complete eligibility test.

Read the official system overview

Above ₹50,000?

Review the applicable e-way bill requirement before movement starts. Confirm the goods, transaction and any exemption.

Below that amount?

Do not assume an automatic exemption. Specified job-work and handicraft movements can require an e-way bill even below the threshold.

Different route or circumstances?

Check relevant state notifications and current rules for your movement. This guide is an overview, not a decision tool for every consignment.

Exceptions and applicability: official e-way bill FAQs.

03 / Follow the shipment

From a planned dispatch to a checked record.

  1. 01

    Identify the parties

Start with the supplier, recipient and transporter. Compare the GST numbers and names with your source documents; clarify any mismatch before preparing the movement record.

  2. 02

    Check the requirement

Review the goods, consignment value, reason for movement and applicable exemptions. Decide who will prepare the record so the supplier and transporter are working from the same plan.

  3. 03

    Prepare the document details

Bring together the invoice, bill of supply or delivery challan, as applicable. Check dates, item descriptions, quantities and the dispatch and delivery addresses against the actual shipment.

  4. 04

    Complete the transport details

Use the official e-way bill system for generation. Coordinate the transport mode and required vehicle or transport-document details with the person handling the shipment.

  5. 05

    Review before dispatch

Check the generated record, its validity and the documents travelling with the goods. Keep the responsible contact clear if a vehicle, route or delivery plan changes.

Preparation checklist adapted from the NIC user manual. GSTVibe does not generate, amend or verify e-way bills.

04 / Read the two parts

The consignment and the conveyance.

A

Part A: the consignment

Focus on the transaction and goods: party details, document reference, goods and value, and the places involved in the movement.

  • Match the parties with the source document.
  • Check the document number and date.
  • Distinguish the billing and delivery details.
B

Part B: the transport

Focus on how the consignment travels, including the applicable vehicle or transport-document information.

  • Coordinate details with the transporter.
  • Review changes before onward movement.
  • Check the validity shown by the portal.
05 / Put it together

One shipment, viewed from three angles.

Illustrative dispatch

A supplier sends goods to a customer.

The operations team should be able to reconcile the business identity, supporting document and movement details without guessing which record belongs to which shipment.

Identity check
Does the supplier’s full GSTIN match the registration being used?
Document check
Do the goods, value and destination match the relevant invoice or challan?
Movement check
Does the applicable e-way bill reflect the actual transport arrangements?

A matching GSTIN does not confirm that a particular e-way bill exists, remains valid or belongs to the shipment in front of you.

The details people often mix up

Questions before the goods move.

Can I find all e-way bills using a GST number here?

No. Our GSTIN lookup shows available registration and filing information, not a business’s e-way bill history. Use the authorised facilities on the official e-way bill portal for movement records.

How long is an e-way bill valid?

Validity depends on distance and the applicable transport category. The standard rule uses 200 km or part thereof per day; special categories differ. Rely on the actual validity shown for the record and check current guidance. Validity FAQs.

Is a transporter ID the same as a GSTIN?

Not always. An unregistered transporter can enrol and receive a TRANSIN. Its format resembles a GSTIN, but it serves a different purpose. Do not treat every transporter identifier as proof of GST registration. Transporter FAQs.

Does “Active” GST status guarantee generation?

No. A registration lookup is not a test of every e-way bill portal validation or restriction. Check the actual portal response and relevant advisories if generation is unavailable.

What if the vehicle or shipment details change?

Pause and identify what changed. Transport updates, incorrect transaction details and cancellation are different situations. Use the permitted official workflow for that change; do not assume every field can be edited after generation.

Does GSTVibe issue an e-way bill?

No. This is an educational page. We do not collect your portal credentials, submit movement details or generate an EBN. Continue to the official portal when you are ready to act.

Check the business.
Then handle the movement.

Keep registration verification and shipment documentation as separate checks in the same dispatch process.
