GSTR-2B vs purchase register

GSTR-2B Reconciliation Tool

Find the differences. Know what to review.

Compare your books with the selected GSTR-2B records. Turn two spreadsheets into a clear list of matching documents, missing counterparts and amounts that need a closer look.

Two files. One review list.

Files are processed on this device. No GST login, API access or file upload to our server. Nothing is saved in browser storage.

Compare one invoice-level sheet from each file at a time, up to 10,000 document rows per sheet. Supports invoices, credit notes and debit notes. It does not reconcile imports, ISD credits, amendments, IMS actions or all GSTR-2B sections automatically.

Default ₹0 means exact paise matching. A non-zero tolerance applies separately to taxable value, IGST, CGST, SGST/UTGST and cess—not the combined tax total.

From two files to a useful review

A straightforward reconciliation workflow.

  1. 01

    Bring the two sides together

Download your GSTR-2B from the GST portal and export the corresponding purchase register from your accounting system. Work with the same recipient registration and a deliberate period selection. Keep original copies unchanged, and make sure your export contains document-level totals rather than one row for every item or rate.

  2. 02

Make the columns mean the same thing

Choose the relevant worksheet in each file and identify the final header row. Review the suggested mappings for supplier GSTIN, document number, date, taxable value and individual tax components. If a tax column genuinely does not apply, select Not applicable (0). Leave missing or uncertain amounts unresolved rather than disguising them as zero.

  3. 03

    Run a controlled comparison

The tool groups documents by supplier GSTIN, document number, document type and invoice financial year. It trims outer spaces and ignores letter case, but preserves punctuation and leading zeros. It then compares dates and amounts for unique pairs. A repeated key is marked ambiguous instead of being paired arbitrarily or automatically added together.

  4. 04

Resolve the exception, not just the label

Open a result to compare taxable value and each tax component. Check original documents, selected period coverage and the source row numbers. An absent counterpart can mean a different invoice-number format, the wrong selected sheet or an invalid imported row—not necessarily a supplier filing failure.

  5. 05

    Keep an auditable review record

Download the full CSV report with result categories, original values, import warnings and source references. Review corrections with the appropriate person and rerun the comparison using updated exports. No invoice is edited in your source file, no action is taken in IMS and no return is filed from this page.

Read the result, choose the next action

Every category has a reason.

Agreement

Matched or within tolerance

A unique document pair has the same date and either equal amounts or differences within your chosen tolerance. Review import warnings and credit eligibility separately; do not turn an agreement between two files into a legal conclusion.

Missing counterpart

Present on only one side

Start by checking coverage and formatting. An invoice in the books but absent from the selected 2B sheet needs a different follow-up from a 2B document not found in the selected books. Neither category should be resolved by guessing.

Investigate

Different, repeated or invalid

Compare dates and each amount field, not just total tax. Repeated keys stay unpaired. Invalid rows are listed with reasons and excluded from monetary summaries so a missing amount cannot quietly become a healthy zero.

An illustrative difference

The tax total agrees—but the components do not.

Your books show ₹90 CGST and ₹90 SGST. The selected 2B record shows ₹180 IGST. Both add up to ₹180, but the individual tax heads differ, so the tool flags an amount mismatch at zero tolerance.

Business identity matters

One invoice number.
Potentially many suppliers.

Matching only by invoice number can pair unrelated purchases. Supplier GSTIN, document type and invoice financial year provide additional context before amounts are compared.

Review a supplier’s GST profile

Use the supplier’s registration

Map the supplier GSTIN column—not your own recipient GSTIN repeated in the workbook header.

Keep your registrations separate

Choose records belonging to the same recipient registration. This tool does not automatically extract or enforce recipient coverage from every workbook format.

Preserve document references

Keep invoice numbers as text, including leading zeros and separators. The matcher does not silently turn INV-001 into INV001.

Better inputs, more useful results

Before you select the files.

Keep document-level data

  • Use one row per invoice or note, with complete document totals.
  • Remove summary totals and unrelated sections from the selected range.
  • Keep supplier GSTIN, document number, date and type together.
  • Map taxable value and IGST, CGST, SGST/UTGST and cess separately.

Make formats explicit

  • Prefer YYYY-MM-DD dates; numeric slash dates are read day-first.
  • Use amounts with at most two decimal places.
  • Keep document identifiers as text in Excel.
  • Recalculate and save formula-based exports before import; the reader uses cached values, not live Excel formulas.
Clear answers before you compare

Questions about GST reconciliation.

Which files can I import?

Use an .xlsx workbook or a comma-separated .csv file up to 5 MB. Choose one worksheet per side, with no more than 10,000 document rows. Multi-row headers can be handled by choosing the final header row and mapping columns manually. Re-save older .xls files first. This version does not import GST portal JSON files or PDFs.

Are the files uploaded or stored?

No. The reconciliation tool reads the files in a browser worker on your device. It does not send their contents to our server or store them in local browser storage. Clear files releases the current comparison, and reloading the page starts a new session. A report you download remains on your device until you remove it.

Does Matched mean I can claim ITC?

No. It means the fields compared in the selected data agree under the stated matching rules. It does not verify all legal eligibility conditions, blocked credits, receipt of supplies, reversals or applicable time limits. Use reconciliation as one review step, not an automatic decision to claim credit.

Why can an invoice be missing from this comparison?

The two selected datasets may cover different periods, sections or registrations. A supplier may have reported a document differently, or your export may contain an error. Check the selected sheet, invalid-row category and invoice reference before drawing a conclusion. Missing in selected 2B is deliberately narrower than a claim that an invoice never exists on the portal.

Why are repeated invoice numbers marked ambiguous?

A repeated supplier GSTIN, document number, type and financial-year key can represent a duplicate export, rate-level rows or another data issue. The tool does not know which explanation applies. Review and consolidate legitimate item rows outside the tool before importing again; do not delete a record solely because it appears in this category.

How does the amount tolerance work?

At ₹0, any paise difference is a mismatch. A non-zero tolerance, up to ₹100, is applied independently to taxable value and every tax component. An amount difference within that setting is reported separately as Within tolerance, not as an exact match. Dates must still agree for that category.

Can I compare credit and debit notes?

Yes, if you provide the document type through a mapped column or choose one type for the entire selected sheet. Credit-note amounts are compared as negative values, with original source signs retained in the report. Use document-level note totals. Amended documents and other specialised GSTR-2B sections require a separate review; the tool does not merge them into original invoices.

Why is the supplier GSTIN part of the match?

Two suppliers can use the same invoice number. The GSTIN helps distinguish their registrations before document references are compared. The tool checks format and checksum locally, but it does not query live registration status. Use GST number lookup separately if you need to review the business profile.

Complete the review, not just the match
